Job Title:                   Centre Administrator   

Location:                   Freeport Talke

Reporting To:           The Centre Manager

The primary function of the role is to ensure the proficient, diligent and professional running of the Centre Management Office.

Key responsibilities will include but not limited to:

  • Accounts management; invoicing for goods and services relating to the Centre and liaison with the Accounts teams on all relevant matters.

  • Diligently responding to all telephone calls and to communicate messages appropriately.

  • Maintain an effective filing system.

  • Utilise software packages including ‘Retail Advantage’ used to collect sales/data from retailers; and ‘Footfall Interactive’ used to monitor visitor numbers to our Centre; to support business intelligence. (Full training will be given).

  • Have responsibility for all office appliances & systems relating to photocopiers / scanners / telephone / broadband etc.

  • Attend meetings with and/or on behalf of the management team (when requested) and record minutes of meetings, distributing all typed correspondence appropriately.

  • Effective planning, recording and updating of all health and safety information relating to the Centre and tenants.

  • Have responsibility for all aspects relating to the Centre’s Gift Card sales.

  • Liaise closely with Centre Management to drive initiatives, promotions and other revenue streams e.g. sponsorship opportunities, liaison with business partners, attractions and destinations, tour operators, themed events etc.

The successful candidate will:

  • Have a strong administrative background.

  • Have a solid / working knowledge of MS Word, Excel, PowerPoint and Outlook.

  • Possess excellent communication skills: face to face, newsletters, committees and working groups, etc.

  • Be a strategic thinker with an open minded approach to challenges and maximising opportunities.

  • Have a ‘can-do’ attitude and when necessary can ‘get their hands dirty’.

  • Have the presence and confidence to deal with senior personnel (particularly from retailers, Client, agents, local authority and other stakeholders) on issues good and bad.

  • Have a flexible approach to work; may be required to work occasional weekends and late nights and some travel may be involved.

  • Be Customer / Guest facing. There will be great emphasis on proactively meeting & greeting internal and external guests and resolving all queries in a friendly, efficient and professional manner.

  • Have strong professional etiquette when dealing with all queries through all channels, i.e. telephone, emails, social media and face to face.
